Introduction

When it comes to professional copyediting, the conventional wisdom is that professional translators and editors generally perform better than AI. However, we may find striking similarities between an AI’s output and the professionally edited version.

Recently, we experienced an intriguing situation: after copyediting and publishing a text on our website, we later asked an AI to edit the same raw text. Please see one example below.

Raw version: The video is aimed to relax people, not speed them up,

Professionally edited version: The video is aimed to relax rather than energize,

AI edited version: The video is intended to relax viewers, not energize them,

How does AI ‘write’?

Large language models (LLMs) have been trained on a massive collection of text from books, articles, websites, and other published materials. Over time, our blog could be among those texts included in the training materials.

Generative AI “writes” or “edits” texts by using statistically common phrasing and word combinations that frequently appear together.

However, as more AI writing is created and published on the web, more and more of the training data will be AI generated text.

This may result in degrading performance over time, as more low quality LLM-generated content enters the pool. In writing, this could look like an overrepresentation of certain phrasings that sound awkward to the human reader, “hallucinations,” and other distortions.

A professional, human editor can easily identify these issues. If you use AI as a writing aid, a professional editor can add value by introducing a human element that will make your content stand out.

Our experts can help you stay ahead of the curve. Below are some examples of our professional copyediting. Feel free to contact us for full copyediting services in all languages.

Examples of Professional Copy Editing

Conciseness

Raw version: Layla thought the English translation is poetic, so she read the English lyrics as a poem. She has a gentle and clear voice. Her tone is soothing, and the poem is relaxing. Shreya immediately suggested these all work perfectly for ASMR.
Human Edited version: Layla thought the English translation was poetic, so she performed a reading in her clear and gentle voice. Her soothing tone inspired Shreya to suggest creating an ASMR version.

These sentences were reworked from 41 words to 29 words.

Redundancies were removed and similar ideas were combined for a more fluid reading experience.

The tense was also made consistent throughout the passage.

Word choice and phrasing were adapted to a more formal register.

Word Choice

Raw version: The video is aimed to relax people, not speed them up, so instead, we slowed the animation down, reducing its speed to half its normal speed, and like magic, all of a sudden, everything became seamlessly in harmony.
Edited version: The video is aimed to relax rather than energize, so we decided to slow the animation down, reducing the speed by half. The effect was immediate and magical. The animation was seamlessly integrated into the rest of the video.

“Speed [people] up” sounds a little unnatural and might have unwanted connotations. “Energize” is more appropriate in this context.

“All of a sudden” was replaced with “immediate” to describe the change more clearly.

“Seamlessly in harmony” was revised to “seamlessly integrated” to fix the grammar of the sentence.

The long, run-on sentence was broken up into multiple sentences. Varying sentence lengths makes for a better reading experience, and a shorter sentence between longer ones helps add emphasis.

Style

Raw Version: Some words such as the “jiangnan” area were not possible to include. It is a word that can evoke so much imagery to a Chinese listener, but there was not anything appropriate that fit and could evoke the same imagery to an English speaker.
Edited Version: On the other hand, we omitted the reference to the Jiangnan region altogether. As Jiangnan’s literal meaning is “south of the river,” we gave up geographic specificity but kept its romantic associations by using the word “enchanted” in the same line.

The copyedited version explains the meaning of Jiangnan and elaborates on the trade-offs in the translation. Instead of stating that nothing could evoke the same imagery as the Chinese words to the English language audience, the copyedited version clarifies that translation strove to preserve its romantic associations at the expense of geographic specificity.

Conclusion

Copyediting is especially important in today’s digital landscape, where AI-generated writing is becoming more common. Over time, if the training data pool becomes more saturated with AI-created content, there is concern that the current performance state of AI will be negatively affected.

Therefore, it is essential for the AI industry to utilize human experts to improve on AI generated text. We as language professionals can stay ahead with our unique and creative perspectives.

A professional copyeditor can polish your content to present your ideas in their best form. Having your work edited by a natural language expert will keep it sounding fresh.

Professional copyediting may be even more valuable if performed by an editor who can provide a fresh perspective. Consider hiring an editor outside of your team!

It may be easy to overlook the importance of having your content professionally copyedited prior to publication. Below are some reminders for today’s fast-paced digital world.

Copyediting tightens up the message of your content and improves readability.

Expert advice can help your work attain its maximum potential.

A creative human touch can take your content beyond AI’s limitations.

The coronavirus pandemic is changing many aspects of our lives: how we work, how we socialize, how we shop. It is even affecting the language that we use and how we communicate. We have all had to learn new terminology to discuss the virus, and this terminology has become commonplace. We have also created new words to express coronavirus-related ideas, or repurposed old words to make them relevant to the current situation. It is quite interesting to see the progression of language in this way.

Five or six months ago, the phrase “social distancing” was barely known, and was just starting to be introduced. Every time a news anchor mentioned it, they had to explain its meaning, maybe even show a little diagram to illustrate the concept. Now, unless you’ve been living under a rock, you hear anyone and everyone talking about “social distancing” several times a day. The same is true for other COVID-19 related terminology, including phrases like “flatten the curve.”

People are endlessly creative, even during pandemics. This is seen in the fact that people across the world are coming up with new words to express new concepts that have emerged due to coronavirus. One of the most popular examples of this in English is the word “covidiot” (“covid” + “idiot”) which describes people who willingly don’t follow the guidelines around COVID-19 to protect themselves and others. This is a fun list that gives some more examples of new and repurposed words in many different languages.

The COVID-19 guidelines that we are following might also change how we actually speak. We are wearing masks when we go outside and staying at least six feet away from people we encounter. Both of these practices protect our health, but also make it much more difficult to talk and hear each other. Sometimes we end up almost yelling just to have a brief conversation. For some of us, the difficulties of having an in-person communication make us weigh our words more carefully and focus on communicating as efficiently as possible- we don’t want to spend energy yelling about things that don’t matter!

As always, it is important to consider people who communicate differently than us, and do what we can to help them. One group of people facing particularly difficult communication challenges now is the deaf and hard-of-hearing community. Many of them rely on lip reading and seeing facial expressions to understand others, and with masks, this is now impossible. People have designed and started creating masks with clear plastic windows in them to allow for lip reading; there are several places now to purchase such masks online, or you can make your own by following a guide like this.

As professionals in the language industry, we at Monterey Language Services are fascinated by how this pandemic is changing our language and communication styles. We like to stay on top of these changes so that we can continue communicating as effectively as possible!

Technology was already an important tool for communication, work, entertainment, etc. before the COVID-19 pandemic hit. Now that many of us are isolated at home and unable to work or visit other people in person, technology has taken on even more critical and unforeseen roles. Who knew that videoconferencing services such as Zoom would be used to host virtual “happy hours” and family gatherings?

The same is true for technology usage in the translation and interpretation industry. Technology was already quite a buzzword for language professionals. Many people have been singing praises of tech such as neural machine translation, remote interpretation tools, etc. Now it is time to optimize this technology to help us share information as accurately and quickly as possible.

Providing translation and interpretation is absolutely vital during the coronavirus pandemic. In normal circumstances, it has been shown that people who don’t speak English well or at all tend to have worse health outcomes after many types of routine procedures. This effect can be even worse when the situation is critical, like when patients potentially have COVID-19. Since interpreters can’t be in the room to interpret for patients, doctors must rely on phones as an interpretation platform. This still poses some difficulties, like connectivity issues, and trouble hearing due to doctors keeping physically distant from patient. This is better than nothing, but certainly can be improved. Just as doctors have a duty to their patients to provide the best care possible, language professionals and technology developers have a duty to optimize their services to support health care workers in these times.

However, any technology that is used for health care purposes must have legally a certain level of security. This is one reason that certain platforms like Zoom can’t be used for remote medical interpretation: they need end-to-end encryption, among other requirements, to ensure patients’ privacy. According to this Time article, many hospitals are doing their best to transition to providing remote interpretation, but they don’t have the infrastructure. We hope to see more platforms implement stricter security measures, so that health care workers can have more tools available to them.

Machine translation is another tool that, when used properly, can greatly speed up the sharing of important information and significant news about the coronavirus. It can also help researchers and doctors understand medical studies and reports on the coronavirus that have come out of other countries. This is why SDL, a major provider of language services and technology, is offering health science researchers free access to their proprietary machine translation tool. This tool offers translation of over 120 languages, so researchers will have a wealth of information from different sources available to them. Please see this article for more information!

We have outlined a few ways in which translation and interpretation technology is important, but we have just touched the tip of the iceberg. There are many ways that this technology is being used to prevent the spread of COVID-19, and to help those people who are working on the front lines of this pandemic and those who have gotten sick. We are proud to offer remote interpretation services ourselves. We believe that this technology plays a significant role in keeping people healthy and saving people’s lives, and we are grateful to everyone who develops and uses this technology.

As the COVID-19 virus spreads, many states in the U.S. and countries across the world are issuing orders to stay at home for all nonessential personnel. This means that most language professionals must figure out ways to successfully complete their work remotely.

Interestingly, this specific order might not affect translators all that much. Most translators already complete most of their work remotely. Translation does not need to be done in person, so many translators live in their home country, or in a country whose language they translate into.

Interpreters are significantly and directly impacted by the COVID-19 virus and stay-at-home orders. While there are remote interpretation services (such as phone and video interpretation), a majority of interpreters still complete most of their work in person. This is no longer possible for most interpretation jobs. In order to support interpreters, LSPs and the interpreters themselves should work with clients to set up remote services, including video and phone interpretation. There are many online platforms available, which our interpreters are familiar with. They are ready to offer services using these platforms, so that they can still provide necessary interpretations in a safe way.

Of course, this stay-at-home order doesn’t just affect linguists. It affects everyone who works in the companies that provide language services: project managers, vendor managers, localization engineers, sales teams, etc. At Monterey Language Services, we have many years of experience in working from home. While some of our operations do take place in our physical Monterey office, we also have several employees who already work remotely full time.

Working from home presents a major lifestyle change for many people. It does require people to learn how to balance life and work and how to maintain their energy and strive to reach their goals at work. In our experience, when employees are working remotely, it is not important to track employees’ actions and tasks every minute of the day; micromanaging is not an effective strategy. Rather, it is about everyone having a common goal and working toward that common goal comfortably yet effectively. It’s about managing tasks rather than managing people.

Working effectively from home requires various technological resources. We optimize our technology to help us successfully work from home; we use our virtual private network (VPN) to share and access files, we keep open channels of communication via apps on our work phones, and more. We are working hard to remain available to our clients who need our services, and to provide as much support as we can to the translators and interpreters that we work with.

During times like these, staying connected is more important than ever. We need to support language professionals and continue providing translation and interpretation services, so that people can stay informed and connected throughout the world, even if this connection is remote!

To those of us who already work in the translation and interpretation industry, the importance of language service providers is obvious. However, this industry is actually pretty invisible; people don’t often think of translation and interpretation until they need it, or when they see a translation or interpretation that has gone terribly wrong. One of the most famous examples is the sign language interpreter who interpreted (or rather, gestured unintelligibly) for major political figures at a memorial for Nelson Mandela in South Africa in 2013. Instances like this are uncommon but generate a lot of negative attention.

Since the importance of language service providers’ work cannot be stressed enough, we would like to shed some light on the positives that come from working with language service providers (LSPs).

You might think, “I have a family member who speaks another language, why can’t I ask them to do it?” In some cases, if the situation is low-stakes and simple, that may be helpful. But most requests for translation and interpretation have high stakes and require training that your friend or family member probably doesn’t have: simply being bilingual isn’t enough.

Translators are excellent writers in their native language, and they are trained to research and use technology effectively to help the translation process. They know how to take into account the register, purpose, discourse, and audience of a text in order to translate completely, accurately, and fluently.

Interpreters have another refined skill set, including differentiating key information, using appropriate terminology, and using various memory and note-taking techniques. Language professionals know how to do jobs accurately and efficiently, whereas untrained people are more likely to make mistakes or lack experience in bridging the gap between two languages, which can make a huge difference down the road.

Now you’re convinced that you need a professional, but you don’t know any – where can you find such a person?

This is where LSPs come into play. LSPs have strong networks of vetted translators and interpreters whose performances are evaluated regularly. LSPs know which translators specialize in legal translation, which interpreters specialize in medical and health care interpreting, etc. They also work hard to understand the client’s request and related needs, so that they can find the perfect match for the job.

Finding the right translator/interpreter is one major function of LSPs, but they do much more. LSPs can handle large volumes of work, and they can complete projects ranging from translation of a simple Word document to video subtitling to providing interpretation for conferences. Of course, every LSP is different; some choose to focus on certain domains (such as legal, technical, or medical) and some specialize in only one or two types of projects (audiovisual localization, for example). No matter what they specialize in, the best LSPs have plenty of experience working with language-related projects and can deliver high-quality projects to client’s satisfaction!

The multilingual experience that LSPs have allows them to provide consultations and advice to clients about linguistic and cultural differences that could affect their projects. Different languages have different challenges, and LSPs have experience tackling these. Most importantly, LSPs are typically familiar with different cultures and they can spot any potential faux pas and correct them before the project is finalized.

Our final thought: Most people who find their way to working in the translation and interpretation industry are incredibly talented and passionate about languages! Whether they are translators, interpreters, LSP employees, or other language professionals, they have spent their time training and refining their skills. LSPs like Monterey Language Services are able to harness the talents and passion of these people and channel it into high quality language services for our clients!

The Thanksgiving Day can trace its origins back to 1620, when the pilgrims from Britain settled down in Plymouth, North America. Many pilgrims died or suffered hunger due to the harsh winter conditions. Fortunately, the Native Americans reached out their hands to help and teach the pilgrims to grow crops such as corn, pumpkins, and beans. To express their gratitude, the pilgrims invited the natives to a feast the next winter. This tradition has since then become the Thanksgiving Day, in which families reunite to share a feast and reiterate their gratefulness.

Have you ever wondered how the pilgrims and the natives communicate? If you think about it, it was amazing that they were able to communicate in a relatively primitive method as there was no computer or interpretation software back in the 1600s. Compared to them, our world today is much more advanced in terms of multi-lingual communication. According to the statistics, there are about 7 billion people in the world, and about less than half of them who speak more than one language.

Never Take Things for Granted
While we enjoy the fruits and convenience brought by translation tool, it is very easy to take things for granted and overlook the quality of the translation, which can be inconsistent or even inaccurate. After all, human beings created languages and only humans can master the art of translation and interpretation. So during this holiday, we would like to pay tribute to translators, interpreters, and language professionals who, through assisting with communication, have made our world a better place.

Happy Thanksgiving Day!
