School is a common experience that a lot of us have. For some, though, it’s not that simple of an experience. Imagine you’re having trouble keeping up in school and not learning at the same rate as others. What can you do? Sometimes doing your best can only take you so far. This is where IEPs come into play.

Individualized Education Programs are a very involved and careful process that involves not only the student, but their parents, and their teachers too. As you might be able to imagine, it’s important that everyone is able to understand each other for such a delicate and important process!

For interpreters, helping to interpret IEP meetings is a rewarding line of work that they actively look forward to. Seeing the smile on the child’s face or the parents’ face when they know that careful attention is being paid and that they can flawlessly communicate with each other without the barrier of language is a great feeling!

While there’s no set formula for the perfect interpreter, all our interpreters agree that experience plays a significant role.

Interpreters Need to possess comprehensive knowledge of the school system and more!

To do so, we recommend maintaining close ties with local school districts, which allows you to have a deeper understanding of the ever-evolving systems and resources. Following up with current standards is crucial!

Interpreters Need to have some knowledge of autism and speech development

Autism traits and speech development vary widely, so staying informed and updated on these topics proves immensely beneficial in delivering effective interpretation services. As Flower says, autism is a spectrum, so it is overall best to have some knowledge of it, otherwise someone who is not familiar with certain autism traits and/or the lack of speech development will probably be taken off guard.

Interpreters must interpret the core message, and as such must take notes and/or ask the speaker to pause so they may interpret efficiently. While it’s true that interpreters usually bring out the core message, they also try to retain as many of the details and nuances as possible when interpreting for a speaker.

In order to do this, it’s important that the speaker doesn’t speak for too long so that the interpreters can be sure to repeat everything that they said in another language.

The job of an interpreter is to facilitate communication to the point that it’s almost as if the two sides are talking to each other. As such, omitting details is not something that interpreters try to do.

Interpreters Need to interpret in a register that the parents can understand!

Full inclusion refers to the total integration of a student with disabilities into the regular education program with special support. In full inclusion, the student’s primary placement is in the regular education class. However, the student can leave the class to receive related services such as speech or physical therapy.

For some interpreters, one challenge they find is that the language of the IEP’s various pathologists is sometimes at a register far above the level of understanding of the parents.

If that happens, the interpreters should try asking for permission to interpret in a register that the parents could understand.

Also, with COVID-19, the introduction of non-native English-speaking speech and language pathologists, may add another complexity in between IEP meetings.

This is why it’s very helpful for interpreters to have native-level strength in English while also being familiar with speech development. It makes communicating with the correct technical jargon much simpler and also easier to simplify everything for parents.

Needless to say, there are so many cherished moments throughout the process, considering how closely interpreters work alongside the family.

Our office has several approaches to hybrid meetings. We own a Polycom system, which allows users to securely connect with their partner’s IP address for meetings. We also use applications such as Skype, Zoom, Google Meet, Webex, and Teams to provide virtual rooms for interpretation sessions.

Remote work deeply affected the language services industry as well, of course. While many translators who already performed their work remotely were able to adapt well, interpreters who were used to going to events in-person suddenly found themselves having to figure their ways around new video or phone systems and rely on their clients’ ability to use technology as well. By now, in late 2022, these interpreters probably have a good handle on remote work now, but we have a hunch that they’re happy about the recent return to in-person meetings and gatherings.

According to USA Facts, 68% of the United States’ population have been fully vaccinated as of November 2022, while roughly a third of the whole population has had a booster dose as well. While 21% of people in the United States seem to have not had any doses of the vaccine at all, the number of those who at least have some protection is still high. While there is still some risk to in-person meetings, the vaccine helps prevent particularly adverse cases of Covid-19.

With the increase in in-person meetings, wherever possible or requested, we at Monterey Language Services like to send interpreters to on-site meetings. In-person meetings provide less of a risk of missing information due to shaky internet connections or not being able to see the speakers clearly, and we fully support that our interpreters go in-person so long as they are vaccinated and feel safe. Many patients need the in-person support of an interpreter so that they feel comforted in a situation that they might otherwise feel very tense in.

We recently posted about sending Spanish interpreters to a school board event, but we also regularly send interpreters to other places as well, such as medical institutions like major county hospitals, children’s hospitals, large medical groups’ health centers, and even clinics under the State of California’s innovative and research contracts. It is our honor and privilege to be able to provide safe service so many community healthcare facilities, and we admire these places for being able to provide safe, clean spaces for staff, patients, and interpreters to interact.

First, understand that if you’re feeling the effects of inflation, so are your clients and companies that you’re working with. You should try looking at your rates compared with other translators and interpreters and know where you stand.  Everyone’s situation is different, however everyone is in the same inflation. This means the best way to cope with the uncertain times is to make sure that you stay in a good position without losing any of the business that you currently have. You should always be sure to do your best to honor your rates with your current clients. Even to lower your rate to attract more business may be also a good idea!

Next, the world has gone through a lot of changes over the years and we all have had to learn and adapt in order to stay afloat. Before the pandemic, the majority of work was done in-person, but now, there are more and more remote interpretation opportunities. Be sure to also widen your reach to other parts of the country. If you are working from home, that means you can work anywhere. Someone in a completely different area from you may be looking for someone with your experience. Don’t be afraid to put yourself out there.

If you’re going to be working more from home, it may be time to reassess your internet, phone plan, and current equipment. Investing in better internet, phone service, and equipment will make you a more attractive interpreter or translator because you will not have as many technical difficulties as others may have. For that matter, be sure to educate yourself on how to connect to the various video conferencing services. For example, try setting up Zoom, Google Meets, or Webex on your own and test having a call with yourself to make sure you know how to quickly connect and also that your audio equipment is good. Connection means work and livelihood in today’s work place!

Finally, we do hope the world will be back to normal where we can also provide both remote and in-person interpretation without worrying about the inflation nor the pandemic. After all, a balance of in-person and remote work would be the ideal model for clients, interpreters and language service providers!

Let’s start with the basics. To connect to a Zoom meeting, you will first need to have Zoom downloaded to your computer or device and installed. Then, you will need the host to send you one of two things— either a link to the meeting or the meeting ID and the password. Some meetings do not have passwords though, but it’s good practice to ask for a password regardless when agreeing to the meeting. Meeting IDs typically follow this format, 000 0000 0000, with a total of eleven numbers. If the client sends you a meeting ID that does not consist of eleven numbers, you should check with them to confirm. Alternatively, if you do not want to connect through the computer or just want audio only, most Zoom meetings come with a phone number with which you can call into as well.

When you connect, there are several things that might happen depending on both your settings and how the host set up the meeting. If it is a large meeting with many people, then it’s possible that the host will have the meeting set up so that they will have to manually let participants into the meeting. This means that when you connect, you will not go directly into the call. Instead, you will see a screen that says that the host will let you into the meeting. When you get into the meeting, depending on your settings, you might join with your camera on and microphone on, or maybe both of them off, or a combination of the two. Be wary of that if you need a minute or two to get settled and do not want to have your microphone or video on when you connect. You can change this before you connect in the settings of Zoom.

When you are in the meeting, you will notice that there are different buttons at the bottom. As an interpreter you most likely will only need to use the buttons to toggle your microphone and video, the interpretation button if the client has it enabled, and of course the end call button when the meeting ends. Moreover, Zoom has a recording function and a function where the program can transcribe what was said during a recording in the target language. This will only work for the target language, which is English by default depending on what language the host has their program in. The transcription is fairly accurate and can be useful if you want to review what was said or translate the questions into a different language.

First, the host should not be using a free account. The free account comes with many features, but it does not come with the interpretation feature enabled. The easiest way to do this is to upgrade to a business account. Along with a variety of features, the interpretation function is enabled on student and business accounts. Also, be sure to have Zoom updated to its latest version. The interpretation function did not come to the program until later versions, so older versions will not be able to use it. There are many clients who do not realize this and are confused as to why they cannot use interpretation despite perfectly following the instructions.

The next step is to make sure that the interpretation function is enabled. To do this, the host will need to go into the web portal for Zoom and sign into their account. From there, they will need to go into Settings and then go to In Meeting (Advanced). If there is no option for this, you will need to contact Zoom support to have it enabled. After you go into In Meeting (Advanced), all you need to do is scroll down to Language Interpretation and add the languages you need. Just note that you can add as many languages you want to the list of languages, but in a meeting, you can only set up a maximum of five at once.

After enabling the interpreter function and adding the desired languages, it is time to add the interpreters. While still in the web portal, navigate to Schedule a Meeting, and after setting up the meeting as you like, then scroll down to Interpretation and check the box for Enable Language Interpretation. In that same section, there should be a box where you can add an interpreter by their email address, and you can add what language they will be speaking. When you do this, be sure that the interpreter is using a Zoom account that is linked to the email that you put in. If they use a different account, then be sure to ask them for that email address so that you can add them.

Finally, you can launch the meeting. After the meeting is launched, have the interpreter(s) join, and then in the meeting controls, you should see Interpretation. Click on that and you will be able to add and remove interpreters as necessary. If the interpreters are not appearing, make sure that they are properly added, on the right account, and that you have the latest version of Zoom. If you follow all these instructions, then you will be on the way to a successful Zoom interpretation session!

As an interpreter, there are many ways you can do community outreach and help more people get vaccinated. There are resources in other languages that speak to different information about the pandemic and vaccines, such as WHOs website, Boston Medical Center, Washington State Health Department, or even Orange County’s NC Health Department. Helping others to understand the vaccine and then help them get it is a very important service to the community and one that you can help with.

For an interpreter, first, the most obvious thing to do is set up an appointment to get your vaccine if you haven’t already. To do so, you will be able to be allowed into more places, and you will overall be more comfortable being outside. Though many businesses and areas are beginning to open up again, some places will only let you be present if you are fully vaccinated. By being fully vaccinated, you will be able to be anywhere you need to be. The other advantage is that you will have the experience of being vaccinated so that you feel more comfortable in conveying messages to the patient you are interpreting for. Your confidence might even be able to ease some of their anxiety.

After, you are vaccinated, you can help interpret at clinics, pharmacies, hospitals, or at vaccination areas that are set up outside of hospitals. The places that most likely will need the majority of help are the areas that are set up outside of hospitals. Depending on the population of the area that you are in, there might be a different concentration of non-native English speakers. For example, in California, there is a significant amount of Hispanic people, so there is a great demand for Spanish interpreters. If you are interested in helping as a volunteer interpreter, you can try looking on the internet for places that need interpreters. You could also join a medical hotline that hospitals use when they need an interpreter.

However, you should be careful of scams that might take advantage of you. You can find out if something is legitimate or not by searching it online or by looking at the various resources on the FCC, FTC, or US National Cyber Awareness System. If you do happen to come across a scam, you can report it to the FTC so that they can investigate it and hopefully shut it down so that no one else is affected by it.

Most work environments that need to be on-site have taken precautions to make sure that they make as safe an environment as possible. Most of the times, they will take your temperature, have an interpreter fill out a COVID-19 form in advance, supply hand sanitizer, indicators for safe distance, and sometimes even gloves that you can use. Even so, it is up to you to make sure that you stay safe. Here are some small tips to remind everyone.

First, keep in mind that anyone and everyone could be a potential carrier of the virus. This is not to say that you should be completely paranoid, but if you keep that mind, then that will help you to exercise caution and not let your guard down. This means that you will remember to avoid shaking hands, keep a safe distance from everyone around you, and carrying around hand sanitizer gel. However, this does not mean that you should treat people poorly just because you are scared of infection. They are most certainly just as worried as you. Remember, we are all in this together, so treat each other with compassion, respect, and kindness.

Next, though it is common courtesy to shake hands of the people you are working with, it is not advisable to shake hands during the pandemic since the virus could possibly be transferred to your hand and infect you if you accidentally touch your eyes, mouth, or nose. Instead of shaking hands, you can just wave your hand and greet them warmly.

When you can, make sure you wash your hands. Though hand sanitizer can do the trick of quickly cleaning your hands, it will not completely keep you safe from the virus. Put simply, the water will neutralize and wash away the virus while the hand sanitizer will only neutralize it. While hand sanitizer is a good way to quickly clean your hands, it is not the best way to stay completely safe.

Also be sure to avoid touching surfaces in general. The virus can survive on surfaces, and then be transmitted to you if you touch your face. So try to be extra careful about what you touch in the area that you are working. Alternatively, you could also bring gloves so that you avoid having to touch anything with your hands altogether. Or you could carry around a bottle of hand sanitizer so that you can clean your hands whenever you touch something.

Speaking of bottles, you should avoid bringing bottles of water or food to assignments. Whenever you put them down, they have a chance to pick up the virus, so it is better to just eat your food and drink how much ever water or liquid you want in your car and leave it there so that you don’t accidentally get infected.

Finally the best way to avoid being infected is to boost your own immune system, meaning to take care of both your health. For example, consider going on walks every day to stay active. The walks can be as short as half an hour. The important part is just to take time to move around and get your heart rate up. Next, make sure you have a balanced diet. Eating out and ordering delivery has become much more prevalent during the pandemic, but cooking for yourself or ordering healthier options is a great way to give your body the proper nutrition it needs. Having a healthy balance is important to make sure that you keep yourself in a good condition and avoid any problems that might arise from the new pandemic lifestyle.

The first one is to be sure to have a separate space for your work. This might not be possible for everyone depending on where you are living, but it is important to have a space that you can identify as your workspace for multiple reasons. The first reason is for productivity reasons. Your home is traditionally your place to relax. It is pretty much a “no work zone.” But now, you are bringing your work into that space. This means your workspace and your relaxation space will inevitably mix together, and you will not be as focused when working, and you will be more tense while relaxing. The next reason is that, it will be easier for you to concentrate if you have a separate space where you can be as alone as possible. This will help to replicate you being in an office setting and allow you to focus more since you will be able to physically block distractions.

The next step is to make sure you get up, stretch, and walk around. Staying too sedentary is something very common among translators, and for good reason. But staying in the same spot, doing the same repetitive motions is actually very detrimental for your health. Just getting up and doing a few stretches every hour or so will help to refresh your body as well as your mind. You will also be able to prevent any kind of damage to your body that comes from prolonged immobility.

Next, be sure to have a good internet connection. There are a great deal of ISPs that have data caps on their internet, and if you are living with a family, you might already be getting close to that cap every month. Add in to the fact that you are now working from home and having to download files to translate, you might exceed that cap easily. You should make sure that you can operate within the means of your internet plan, and if you can’t find a better one so that you have reliable internet.

For the last tip, be sure to save your files both offline and online, and save frequently. With modern technology, it is increasingly common for everyone to save their files to a cloud service so that it is easier to share and access by multiple parties, but if there is a problem accessing the internet, then you will not be able to continue work anymore. Likewise, if something happens to your computer or device you are working on, and you are not able to use it anymore, having access to the file online will make sure that you can access it from a different device and thus allow you to continue work.

Remote work is a new work environment for most of us, so it is important to keep in mind what needs to be done so that you can comfortably continue to work from home. Be sure to stay healthy both mentally and physically so that you can continue to sustain this new work life without any problems.

When the pandemic first began, it was uncertain whether or not it would even be possible to procure toilet paper, or if you could even get into a line for a supermarket without having to wait multiple hours. But over time, health experts have been able to recommend safe practices that ensure the safety and prevent the spread of COVID-19. In the present, while there are still many things that we are not able to do, there are many more things that we can do now that make it possible to feel as if we are living as we used to.

Of course, people in general aren’t the only ones who had to find a way to adapt in order to have a taste of normalcy. Businesses had to find a way to continue their work without any detriment to their employees’ health or their profits. For restaurants, their answer was delivery. For schools, remote teaching has become a very viable option. And for business giants such as Google and Apple, they are allowing their employees to work at home until at least July 2021.

With the realization that the COVID-19 situation is not getting any better, companies now have to face with the unfortunate reality that there will not be an answer to this pandemic until next year. With that in mind, businesses are trying to get ahead of the curve, and allow for remote work for their employees to ensure that they are safe, and do not have to choose between their job and their safety. It is highly likely that more businesses will begin to adapt the same measures as the year goes on as long as they are equipped to.

Overall, with the end of COVID-19 nowhere in sight, businesses have to make the call that will bring their employees the most safety while also ensuring that they can function without there being too much impact to their day-to-day operations. Nobody knows when the pandemic will end, but it is certain that proper precautions need to be taken sooner than later if businesses want to survive this pandemic.
